Why prefer Best of Breed rather than an integrated system with accounting?
Do you choose software with as many functionalities as possible or do you choose the solution that best fits your business processes? More and more companies are opting for the latter. Either a ‘best of breed’ solution instead of a fully integrated system.
Many integrated systems started as accounting software and from there developed into ERP software. This software determines your business processes and forces your organization into a straightjacket. In the long run, that often squeezes ……
With a best-of-breed solution, the business and business processes of an organization are the basis … a completely different starting position and therefore, the name says it all ? , often the better solution in terms of flexibility and functionality.
Do you recognize this situation?
You quickly need to adjust an order. However, the order is already ‘in progress’ in your ERP system. You cannot add more lines to the order but above all: you cannot change the quantities. You need to reverse the complete order – this will take you at least an hour or more …
A new implementation is an extra rewarding task if the customer abandons an integrated system. An efficiency increase of up to 130% (!) is no exception.
Through the separation a change, addition or correction is quickly made. You are ready with a few mouse clicks. Reversing a mutation within an integrated system requires more actions, time and effort ….
And the advantages of an integrated system? Our intelligent interfaces with the best accounting systems on the market ensure that you do not have to enter anything twice and also have the right information in Qbil-Trade. The simple export functionality of Qbil-Trade® ensures that the financial facts from Qbil-Trade® get into your accounting software. Smoothly. The data will only be exported to the accounting software as soon as the purchase invoice is received, or when the sales invoice has been sent.
In this way there is a clear line between your trade and accounting without duplicate entries. This saves time and effort.
“As a trader, I do not get my targets because I am wasting my time with asking permissions whether I can change my contracts or call orders. Without this flexibility, I am limited in my job “.
User integrated ERP system
Small adjustment meant at least 2 hours of extra work
I worked at the export department of an international company. We exported chemical raw materials all over the world. We worked with a well-known and large ERP system.
If one of our order pickers, of course just before shipping, could not find a barrel of a certain batch number … ..and that was often the case … that was a tragedy. Hours of extra work: reversing everything, crediting, preparing new documents… What a stress!
With Qbil-Trade software such a small change is also really a small change. As easy as pie 😉
The advantages of your choice for Qbil Trade, best of breed
Within Qbil-Trade® you can monitor and manage the credit limits and position limits, book purchase invoices in which the general ledger account number and VAT code will immediately be selected, creating invoices and credit notes, accounts receivable and payable management and automatically submit the intracommunity declaration (CBS-IDEP). For each relationship several VAT numbers are selectable.
In addition to the sales and purchase invoices, it is also possible to export contact information into your accounting system, including creditor and debtor numbers used in your accounting system.
The credit and position limits and our currency hedging module communicate vice versa with your accounting software.
The advantages:
- You save a lot of time
- Maximum flexibility
- User Friendly
- No double entry
- Risk of errors in data entry is minimized

This new module has been developed in cooperation with one of our customers. The export module is delivered including a digital link with Customs, Chamber of Commerce and Portbase.
With the data from Qbil-Trade, you can directly create a Certificate of Origin (CvO) and legalize it by the Chamber of Commerce. The same applies to customs declarations of import or export. Via Portbase or any other Port Community System, you can transmit all data of a cargo or container electronically, giving you instant access to your Bills or Lading, and real-time ETAs, customs checks, and loading and unloading confirmations.
In Qbil-Trade you can find the status of all actions at order level.
The export module, of course, is not limited to the Netherlands. It is possible to link with the chambers of commerce, customs and any port community system in Europe, North and South America and Asia.

With OCR no more any manual activities. Benefits only.
OCR stands for Optical Character Recognition. This OCR technology allows you to convert different types of documents into editable and searchable data such as scanned documents, PDF files or digital images. The OCR solution of our erp software Qbil-Trade® automatically processes all your invoices no manual activities anymore. Benefits only.
Recognizable?
You receive your invoices electronically, by e-mail or by post. The electronically delivered invoice is usually incorporated directly into your ERP or accounting system. Unfortunately, this does not apply to invoices received by post or by email (pdf attachment). Usually, they are still processed manually. This is a time-consuming job with a fair chance of making mistakes. And you have two different invoice processing methods. This is not very efficient, right?
There is a solution. With the OCR solution of Qbil-Trade® you can do it smarter, more efficient and cheaper. It is a solution that automatically processes all your invoices in the same way in Qbil-Trade®. With other words a solution that will save you a lot of time, a lot of mistakes but most of all annoyance.

Our module Logistic Control Centre, in short LCC is a piece of technology where all logistical movements are visible and that can be dragged and dropped. All the necessary information is visible instantly.
When an order has been made, all the amendments can be done from this screen. Even the invoices can be created from this screen.
When a load or unload date changes you can simply just drag and drop in this screen to the right dates.
It is also apparent which finalized orders have not been invoiced yet and these orders can be invoiced directly and sent without even leaving the LCC screen. On the right in the screen all product groups and products that are available on stock are displayed. Or if you work with silo stock then all the silo’s and their weights are displayed.
Clicking on a line shows the history of a stock or a silo. In case of a silo the history will continue until the last moment the silo went empty. Furthermore this module contains a messaging function and a mutation window. In case you have your warehouse and are also using our “own warehouse” module then the incoming stock, outgoing stock and stock movements appear real-time in this window.

Sourcing for a new ERP system is not an easy job. It is a long-term investment which often has a major impact on your organization.
Did you know that more than 50% (!) of the ERP implementations fail? Make sure this does not happen to you!
We’ll give you some tips to choose the right ERP package:
- Make a clear list with the minimum requirements, needs and wishes that the ERP system must meet. Therefore involve all departments of your company in selecting the ERP package. This will gain support within your organization.
- Check with other companies working in the same industry which ERP system they use. Maybe they are willing to show it to you.
- We advise you to invite up to 3 ERP software vendors for a demonstration. With a greater number there is a chance that you lose track and it becomes harder to make a good settlement.
- Ask the ERP software company for several references. And ask these companies what the software is like on a daily basis.
- Invite the software vendor 2 up to 4 times for a demonstration. Prepare as many questions as possible in advance. Also ask questions regarding how to deal with incorrect entries and corrections.
- After the first demonstration: describe and prepare a number of cases which you encounter in your daily work. Deliver it in advance and ask the ERP software to demonstrate the software again on the basis of these cases.
- Look closely at the distinctive character of the software. What advantages does the software offer your company? What will it bring you?
- Very important: the usability of the software. Are you getting the idea that you could get straight to work with it?
- Ask lots of questions about the implementation process. This will prevent costly surprises and that there is still an IT Consultant around your office after 2 years. Also look at the training opportunities and the daily support to the software.
- Opted for an ERP package? Assign per department a key user during deployment. This person will collect all the user requirements and the department specific needs. Further he or she will get to know the new system and act as a point of contact and help for his or her colleagues. It will fasten the implementation process and gain and secure widespread support within your organization.
