Document numbering

Decide in advance what the numbering should look like. Suppose we want to set the numbering of the quotations.

• We want the quotation numbering to start with the Q of Quotation.
• Then want to show the year. But then not 2023 but only show ’23’ (we all know we live in the 20th century….)
• Then we want to display the month in which the quotation is issued, i.e. for March that is 03.
• And then we want to start the numbering with 0253.
• In short, it should be: Q23030253
• And then the numbering will continue to count from there, whereby in the month of April the numbering must jump from March 03 to 04.

In the Settings menu, select -> Administration

Select ‘Numbering Schemes’

Select the tab for which you want to change the numbering. In our case: ‘sales offer’.

To add a new numbering, click on the plus + button.

Okay. Now it gets exciting. We want the numbering to appear like this:

Q = Quotation (you can start with any letter or just omit the letter)
23 = year [y] (if you use the capital Y, 2023 will appear in full)
03 = month [m]
0253 = the numbering we want our quotations to start with.

In the white Prefix field enter the following:
Q[y][m]

In the red ‘Start’ field enter your number with which you want to start. In our case: 0253

And in the next field, select the date from which the numbering should start.

Select a date.

Select to which subsidiary or VAT number the new numbering applies.

Then click on ‘save’.

It worked! The document numbering for the quotations has been set!
